POSITION OVERVIEW:
The Center Operations Manager is responsible for overseeing the daily operations of the center to ensure it runs efficiently and provides high-quality care to clients. The person will be responsible for managing administrative staff, maintaining compliance with regulations, and enhancing the client experience. The Center Operations Manager will play a pivotal role in ensuring that the center is at optimal capacity with client caseloads supporting the clinical team and administrative staff to deliver exceptional therapy services in behavioral, speech, and occupational therapy. The Center Operations Manager will also be directly responsible for “stage 2” business development activities with supply chain such as but not limited to local pediatricians, pediatric dentists, pediatric healthcare facilities, childcare facilities, preschools, elementary schools etc. The incumbent will also be responsible for maintaining high-quality and professional relationships with established supply chain partners.
Key Responsibilities:
Operations Management
- Oversee the daily operations of the center, ensuring smooth functioning and adherence to operational protocols.
- Develop and implement efficient scheduling systems for therapy sessions to optimize the center's capacity and reduce wait times.
- Coordinate with the clinical team to ensure timely delivery of services, maintaining client satisfaction.
- Manage and maintain inventory of center supplies and equipment, ensuring the facility is fully equipped for daily operations.
- Ensure the center meets all health and safety standards and remains compliant with state and other regulations.
- Implement and monitor quality assurance processes to maintain the highest standards of client care.
Strategic Planning and Growth
- Develop and execute strategies to increase the center’s client base and revenue.
- Identify new market opportunities and establish partnerships with schools, healthcare providers, community organizations, and referral sources.
- Promote the center’s services through networking, marketing initiatives, and community outreach programs.
- Analyze market trends and client needs to recommend service expansions, such as new therapy programs or satellite locations.
- Collaborate with marketing teams to implement campaigns, social media strategies, and branding efforts tailored to the center’s target audience.
- Prepare and present growth plans and business development updates to senior leadership.
Staff Management
- Supervise, train, and support administrative and non-clinical staff, fostering a positive work environment.
- Partner with HR to recruit, onboard, and retain talented staff members.
- Schedule and lead regular staff meetings to communicate updates, address concerns, and ensure alignment with center goals.
- Monitor and evaluate staff performance, providing constructive feedback and implementing professional development plans.
Client and Family Engagement
- Serve as the primary point of contact for clients and their families, addressing inquiries, concerns, and feedback.
- Ensure clients receive timely and clear communication regarding their therapy schedules, billing, and other administrative matters.
- Implement strategies to enhance the overall client experience and retention.
EDUCATION, CERTIFICATIONS AND EXPERIENCE:
- Bachelor’s Degree in business, accounting, finance, administration or management preferred
- A minimum of 2-4 years’ experience in operations and business development of a medical facility.
- Proven experience managing a team and leading operational initiatives.
